Host Institution - How to apply for a Course Grant

Only Host Institutions can apply for a grant.

Please follow the steps below to apply for a Volunteer Lecturer Grant.

Step 1: Registration or Log in onto the IMU website

If your institution is not registered on the IMU website, please register an account. 

If you already have a registration for the IMU website, please log in here.

Step 2: Finding a volunteer

  1. The host insitution researches for lecturer (s) in the volunteer database based on the host insitutions needs and the kind of expertise in the VLP database. The Volunteer database can be found here. The lecturers contact details can be requested by the IMU Secretariat via cdc.grants@mathunion.org or on the webpage of the lecturer (to be found through websearch).

    If the host institution is already in contact with an international lecturer who is not yet registered in the VLP database, the lecturer should either register to the database and send an email to CDC Grants about the registration OR just apply to the VLP course and include the CV of the lecturer.
  2. The lecturer and host institution agree on the tentative dates and course content, local living arrangements and expected total local costs (accommodation and basic living costs).
     
  3. The host institution sends an official letter of invitation to the volunteer. The invitation letter has to be signed by the head of the mathematics department of the host university.
     
  4. The volunteer signs the Travel Reimbursement and Insurance Information Form and sends it to the host institution.

Step 3: Applying for the Grant to cover the costs of the volunteer:

The host institution has to apply for the VLP grant via the online application form: VLP Host Institution Request and to upload the following documents (in pdf format) and information:

All documents and information should be uploaded before or on the day of the deadline.

 

Step 4: Evaluation of Application by the CDC

The CDC sub-committee for the Volunteer Lecturer Program will evaluate the complete applications received by each deadline.

Step 5: If the funding is approved by the CDC - VLP

  1. The volunteers should obtain permission to travel from his/ her home institution. 
  2. The lecturer's visit is scheduled and the flight is booked (either by the lecturer or by the IMU Secretariat).
  3. At least two weeks before the schedule volunteer lecturer course the host institution informs the lecturer about the assistant (local mathematics professor) who prepares the students beforehand, assists the volunteer lecturer when necessary during the course, and takes care of any necessary follow-up and puts both into contact.
  4. After the volunteer lecture period the VLP lecturer and the host institution submit a report about his/her experience and evaluation including a request for reimbursement ( including a copy of the receipts of all costs e.g. flight cost, vaccination, visa cost, accommodation, health insurance). They should also send a few pictures from the visit for the CDC website. The cost for living cost and local public transport is covered with the daily allowance and receipts are not necessary.
