Information for VISA

Most participants from non-European countries are required to obtain a Schengen visa before travelling to Germany.  A Schengen visa can be issued for up to 90 days within a period of 180 days. However, please be informed that a shorter validity may be granted.

It is highly important that you apply NOT TOO LATE for an appointment to submit your visa application to a German Embassy or Mission in your country. Normally there is an online appointment system installed on the embassy’s website. We advise you to apply for an appointment immediately, quite often there are long waiting lists.

Your visa application should be submitted not earlier than 3 (three) MONTHS and not later than 3 (three) WEEKS before your arrival in Germany / start of the conference. Specific regulations concerning the time limits for your country you will find on the Website of the German Embassy of your country. Please check immediately, in case of difficulties or uncertainties, we will be happy to support you.

Please read carefully all information and checklists for visa applicants on the German Embassy’s website of your country. Please note that only complete visa applications will be processed.

In general you need:

• Passport (original plus copy)

• 2 biometric photos 

• Application form fully completed

• Fee for visa, in general 60 Euro plus possible additional fees for service for your country

• Health insurance valid for the whole time of your stay in Germany/Europe (original plus copy ) and covering at least possible costs of 30.000 Euro

• Receipt for payment of all travel costs, including accommodation, conference fee etc. or proof of sponsorship of your institution or solidarity  grant of  ICME-13

• Financial situation statement

• Invitation letter by the inviting German institution originally signed by the convenor of ICME-13

• Letter from your university / employer about your position and permission for leave

• Family name and given names,

• Date of birth,

• Passport number,

• Date of registration and Conftool ID, this does not imply the need to have already paid the conference fee
